Admission Process

Referrals
Referrals are accepted from parents, guardians, Cabinet for Human Resources personnel, and juvenile court designated workers. While the latter two entities (and personnel from those organizations) can make initial contact with Campbell Lodge, it is the person(s) legally responsible for the prospective resident who must ultimately engage Campbell Lodge throughout the referral, intake and admission processes.

A member of the clinical team fields initial referrals. The clinical team member assigned to the referral is designated to coordinate the referral and intake process, which includes ensuring that a thorough pre-admission screening and evaluation is completed.

To be considered complete, all referral packets must have all pertinent information, to include, but not be limited to: psycho-social assessment or history, developmental history, immunization and medical records, an educational profile (including documentation which speaks to academic performance, school-based behaviors, and disciplinary action the student has been involved in), and any specialized assessments that have been conducted (e.g. psychiatric or psychological evaluations, court-related assessments, and/or social service assessments). If any additional material, data, or assessment results are deemed necessary, the designated clinical team member will request said information from the appropriate source.

Interview
The final step in the screening and pre-admission phase of the admissions process is for the prospective resident and their family to take part in a structured interview. The Director of Residential Services and Case Manager meet with families for an opportunity to ascertain the family’s perception of the presenting problem(s), barriers and obstacles to a more fulfilling home life for the family, resources, support systems, and current strengths.

Once the clinical interview of the family has been completed, the clinical team members convene to sort through the data provided as part of the referral packet and interview. The task of the clinical team is to determine the degree of emotional, behavioral, and familial disturbance and the type and level of therapeutic intervention required. If the prospective resident appears to be a good candidate for the level of service provided by the Lodge and the clinical team feels it has the services in place to address the current needs of the family, the prospective resident is invited to the program for an overnight stay.

The Overnight Stay
The overnight stay is an opportunity for the staff to assess the prospective resident more intimately in the context of the milieu itself. An overnight stay also presents the young person with the chance to experience the particulars of residential life first hand. They can meet other program staff and residents, ask questions, and take part in the typical routines offered in the milieu.

Admission Determination
Upon completion of the intake and admission assessment, thorough child and family interview, obtainment of documentation from other child-serving systems, and overnight visit(s), the Campbell Lodge Treatment Team will reconvene to make an admission determination based on the information provided through the referral packet data and admission assessment information. The treatment team will review the application for completeness and appropriateness, solicit additional information as may be required, and recommend admission or non-admission.

In the event of an admission determination, a representative of the clinical team informs the referral source of the determination and an admission date is set. The prospective resident’s legal guardian(s) is contacted and informed of the necessary paperwork (please see Exhibit B: Necessary Documentation for Incoming Residents) that must accompany them when they enter the program on the agreed upon admission date.

In the event of a non-admission determination, it is the responsibility of the Director of Residential Services to convey that finding to the referral source and to document the reasons for the non-admission determination.
